PHFSC September Board Meeting Minutes Date: September 15th, 2026 Called to Order: 6:30 PM Attendees: Board Members: Sara Burrows-Rutkofske, Stephanie Krause, Marisa Slingerland, Ronda Bingham, Kim Woolman, Linda Dewey Coaches: Amanda Penrod, Tracy Members: Tiffany Sheldon Minutes Approved: August minutes approved. Kim Woolman made motion to accept with Marisa Slingerland 2nd. All Approved. President Report: - Kim Woolman discussed all coaching have been set and Kim/Linda will sign. All coaches were in compliance. Carrie Ashbrook, former skater, has shown interest in being a Junior Coach. She is available one day, Monday, at this time. Linda Dewey will review Carrie’s mentoring, safe sport, and USFSA #’s. Will discuss more details at next meeting. Treasurer Report: Available upon request. Discussed ice bill for September is $5200. Linda discussed payments have been going ok so far, but all ice bills will need to be in good standing before they can register for fall to keep things fair. Ronda will contact Go Motion in regard to some skaters having issues registering for fall skating. Our last test day had $437 in profit. Test day registration has not yet been moved to go motion, Linda and Ronda will work on this. Discussed possibly moving money from Edith account and using this account to solely concentrate on ice show transactions, Linda will update. Sara Burrows-Rutkofske made motion to accept Stephanie Krause 2nd. All approved. Ice Show: Amanda and Tracy sent out Ice show policies to the board, these will be approved through group chat after having the weekend to look them over. They have been amended to include tights as well. Ice Show fundraising committee: Kim Woolman, Sara Burrows-Rutkofske, and Amanda Wallbank will be heading this committee. They recently met and have created a goal of $10,000. They would like to run two campaigns: 1: Corporate: Big Business contacts and would run this from now until end of year. This is a tax-free donation for these businesses. 2: Downtown/Small businesses. Will provide a package to pick from and run this from January to March. Kim will be creating corporate letters, and Sara will be creating small business letters. Kim also has a whole media packet/Spread sheet created that she will send out for approval in email. Amanda Penrod and Sara also have an idea of Alumni page donations. Amanda and Tracy have spoken with McMorran about lighting and how to use them. Discussed possibly using $1000 budget in lights to hire professional to run them. Amanda discussed we will be having dress rehearsal at McMorran as well and girls will be able to leave things that night. Ronda mentioned McMorran was purchasing a Megatron and will look into how this may affect us for ice show. Discussed if there is money left over from profit, we could potentially credit families who receive sponsors/Ads as well. Discussed having James Sheldon announce ice show, all in favor. Marisa mentioned getting samples for tights this year for colors. Tracy will look into a tracker for electronic pay for sponsors/community. Discussed possibly using Zefe for ice show tickets online. Craig would like to test this out, Linda Dewey will discuss this with him. All policies and registration have been sent out to members. Clean out: Discussed cleaning out storage area at both arenas again. Sara/Kim will look for blue curtains for ice show and take them to laundry mat. Fundraising: Poker: Going well, discussed a quarterly poker schedule. Next scheduled event is too close to Christmas, may have to skip this one. Poker seems to be going well with only 2 volunteers scheduled and one on call. Fall Mums: Due date was September 4th, Delivery is scheduled for September 19th. Joanne was able to Glacier Pointe still this Saturday. Thank you! Old Business: Mclaren grant submitted by Sara was approved again this year! Thank you Sara! New Business: Glacier Pointe: The ice arena has been purchased by Black Bear. We do not know many details at this time. Kim Woolman would like to attend a town hall for this on Thursday at 6pm and keep us updated. Tri State: This membership benefits us for marketing and competitions/ice show. Sara discussed they will send us packages with skating gloves and other items. Ok to continue per board, cost is $75. All Approved. Detroit: Discussed this membership keeps us up to date with national competitions and helps with high school team information. Ok to continue per board, cost is $30. All Approved. Club Competition: November 14th. Tracy will be printing requirements and registration forms. Will indicate you can not participate if you do not skate during fall. Also, can not skate at a lower level than you have tested. Discussed having no gifts this year for skaters and keeping cost $100 for registration. This will include ice costumes for this number. Tracy has contacted Darren regarding prices for T-shirts. Ronda now has access to posting meeting minutes and agenda on our website. Thank you! Marisa Slingerland made motion to accept with Ronda Bingham 2nd. All Approved. President Report: - No president report to present. Treasurer Report: Available upon request. Discussed still having $3800 still outstanding for membership fees, Linda is working on this. Ronda Bingham made motion to accept with Marisa Slingerland 2nd. All approved. Ice Show: Amanda and Tracy sent out Ice show policies to the board, these will be approved through group chat after having the weekend to look them over. They have been amended to include tights as well. • Ice Show fundraising committee: There are four people as of right now committed to helping! Will discuss again at September meeting. • Sponsor Donations: Huron Lady (Laura) has showed interest in sponsoring for the ice show! Discussed possible different donation options. • Ice Show Theme: Fire & Ice! Darren will be working on a logo for the website/Sponsor flyer. Ice show will be March 13th, 2027, with a 10am, 2pm, and 6pm show! Stephanie Krause made a motion to approve. Marisa Slingerland 2nd. All Approved. Fundraising: • Poker: Going well, thank you to all who volunteered! Discussed double checking schedules before committing. • Fall Mums: Joanne sent out information and order forms, currently for sale! Due date is September 4th, Delivery is September 19th. Events: • Fun Committee: Sara will be putting together Banana Lovers Day treats for August 27th. Old Business: Nothing to report. New Business: • Mclaren Grant: Friday is deadline, Sara has this all ready and will turn in. Grant will be used towards Ice Show expenses. Will know if we will receive this again in the next 4 weeks. • USFS Grant: Discussed Linda Dewey looked into this deeper, this may be based more on Aspire. They want specific information with budget and Background. Linda will keep us up to date on this. • Website: Ronda has talked to Sports Engine (Go Motion), will email them again to discuss issues. • Christmas show: Skaters have shown interest in doing this again, will discuss further.
